This Marketing Policy describes how we process personal data for communication and marketing purposes related to Pavia Innovation Week and its associated initiatives. This notice complements the information provided in the Privacy Policy and the Cookie Policy.

2. What is meant by “marketing purposes”
By “marketing” we mean sending communications about events, initiatives, projects, content and opportunities of the Data Controller (or closely related to Pavia Innovation Week), including promotional communications and invitations to future editions, as well as light analysis activities aimed at making messages more relevant.
3. What data we process
The data may include, depending on what you enter in forms and/or your interactions:
- Identification and contact data: first name, last name, email (and phone number if required).
- Registration-related data: selected event(s), organizational preferences, information necessary to manage participation.
- Interaction data with communications: email openings, clicks, preferences, unsubscribe requests.
- Images and audiovisual content (if collected): photos, recordings and audio/video footage taken during events, talks and workshops.
4. Purposes for which we use the data (marketing and communication)
If you provide your consent, we may use your data to:
- send you newsletters and communications about Pavia Innovation Week (program, updates, content, initiatives and opportunities);
- send you invitations and information about future events, projects, training activities and related initiatives of the Data Controller;
- send you promotional communications and informational materials also through digital tools;
- conduct surveys, questionnaires and customer satisfaction activities to improve initiatives and content;
- carry out non-invasive segmentation/profiling (for example based on events you registered for or content you viewed) in order to offer more relevant communications.
5. Photos, videos and recordings during the event
During talks, meetings and workshops, photo/video recordings and/or audio-video recordings may be carried out for the purpose of documenting and communicating the event. The content may be used (including excerpts) on:
- websites and official pages of the Data Controller and/or Pavia Innovation Week;
- social media channels (e.g. Instagram, Facebook, LinkedIn, YouTube) and editorial/promotional materials;
- press releases, presentations, reports and archived content for future editions.
Where indicated in the form, the processing of images/recordings for promotional purposes takes place only with your consent (or as otherwise specified in the Privacy Policy). If you do not wish to be recorded, you may notify the staff on site: we will do what is reasonably possible to respect your request (for example by indicating “no photo” areas or adopting organizational measures), compatible with general event recordings.
6. Legal basis
- Consent (Art. 6.1(a) GDPR) for sending marketing/newsletter communications and, where applicable, for the promotional use of photos and videos.
- Performance of a requested service (Art. 6.1(b) GDPR) for strictly organizational communications (e.g. registration confirmation, logistical information, changes).
Consent is optional. If you do not provide it, you may still register for the event (except for the data necessary for organization).
7. Methods of sending communications
Communications may be sent through:
- email and newsletters;
- messaging/contact tools (only if provided by you and if included among the contact channels).
8. Data recipients
The data may be processed by authorized personnel of the Data Controller and by external parties acting as Data Processors (for example IT service providers, hosting providers, registration platforms, newsletter delivery services, technical and organizational support).
If event partners/sponsors are involved, your data will be shared with these parties only if: (a) clearly indicated in the form and/or (b) you have provided specific consent or another appropriate legal basis applies, as detailed in the Privacy Policy.
9. Transfers outside the EU
If some providers (e.g. email/CRM platforms or cloud services) process data outside the European Economic Area, the Data Controller will adopt appropriate safeguards provided by the GDPR (for example Standard Contractual Clauses and/or other suitable measures), as described in the Privacy Policy.
10. Data retention period
- Data processed for marketing purposes are stored until consent is withdrawn and, in any case, for a period consistent with the purpose and applicable legal obligations.
- Data relating to the organizational management of the registration are retained for the time necessary to manage the event and related obligations.
- Photos and videos may be stored in the Data Controller’s historical archives for documentation and communication purposes, unless a request for objection/deletion is made within applicable technical and legal limits.
11. How to withdraw consent and unsubscribe
You may withdraw your consent at any time:
- by clicking the “Unsubscribe” link included in emails/newsletters (where available);
- by contacting the Data Controller using the contact details indicated in the “Data Controller” section.
Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.
12. Data subject rights
You have the right to request from the Data Controller: access, rectification, erasure, restriction, portability (where applicable), objection to processing, as well as to withdraw consent. You also have the right to lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali). To exercise your rights you may contact the Data Controller using the details indicated above.
13. Changes to this Marketing Policy
The Data Controller may update this Marketing Policy. In case of significant changes, appropriate notice will be provided on the website.
